Your team: roles, sign-in and notifications
Who can do what, how people sign in, and what each person is emailed about.
Every plan includes your whole team: there is no charge per person.
Signing in
- Go to https://getswaru.com/team, enter your work email and press Email me a link.
- If your address is on a team, a sign-in link arrives. It works once, for 15 minutes.
- Opening the link shows a Sign in button. Press it.
You stay signed in for 14 days, or until you press Sign out. At most 5 links an hour go to one address. The page says the same thing whether or not an address is on a team.
Roles
- A member answers customers: the inbox, replies, notes, tags, saved replies and account actions. Members can also crawl your docs and use Insights.
- An admin can also change the company: the chat's settings and words, the signed-in-visitor secret, Slack, Freemius, the plan and billing, who is on the team, business hours, the automatic reply, inbox rules, ratings, sending from your own address, the forwarding address, and imports.
A team always keeps an admin. The last admin can't be removed or made a member, and no one can remove themselves.
Adding people
- On the Team page, an admin enters their address under Add someone (their work email).
- Choose a Role: Member or Admin.
- Press Add to the team. They get an email saying where to sign in.
Make admin and Make member change someone's role. Remove takes them off.
- A team has at most 50 people.
- At most 20 people can be added a day, and one invitation email goes to an address a week.
- An address can be on one team only. If it is already on another company's team, it can't be added.
Removing someone
Removing someone, at once:
- ends their sessions;
- changes your signed-in-visitor secret, so put the new one on your server (see Signed-in visitors);
- hands their conversations back to everyone;
- disconnects Slack, if they were the one who connected it.
If they knew your forwarding address, give it a new one on the Email page.
What you are emailed about
Each person chooses under Email me when on the Team page, then presses Save:
- A conversation is assigned to me (on to start with);
- A customer writes again on one assigned to me (on to start with);
- Any new conversation arrives (off to start with).
Assigning a conversation to yourself sends no email. Each person gets at most 100 new-conversation emails and 20 writes-again emails a day.
These choices are yours alone. Your team email gets hand-offs and new support email either way.
